For hotels, venue rental and event management require a high level of coordination. From venue layout planning, communication with organizers, and guest navigation to final execution, every step involves challenges.

This time, MiraVenue and Regent Taipei worked together to make the process more intuitive and efficient.

This was not just about implementing a new technology—it was an exploration into how we could simplify venue management.

At first, the Problem We Set Out to Solve

When we first spoke with the team at Regent Taipei, one major challenge stood out—the high communication costs of venue planning.

Traditionally, the process works like this: venue operators and event organizers go back and forth adjusting floor plans, schedule site visits, and then realize during inspections that something is off—forcing another round of modifications. Sometimes, this process repeats multiple times before the event layout is finalized.

This is why we created MiraVenue! – a system that allows organizers to simulate venue layouts online. They can drag and place objects in real time and instantly switch to an interactive 3D walkthrough of the space. This eliminates unnecessary site visits and makes communication between both parties faster and smoother.

With 3D simulations, organizers can also get a clear, immersive preview of the venue’s layout, ambiance, and possibilities. Whether it’s seating arrangements for banquets, wedding décor layouts, or corporate stage designs, everything can be visualized in advance—ensuring the final result meets expectations and minimizing last-minute changes.

A New Challenge Along the Way: Helping Guests Find Their Way

During our collaboration, we uncovered another issue—large-scale event venues can be confusing to navigate!

For first-time visitors, questions like “Where is my seat?” or “Which entrance should I use?” can cause unnecessary frustration. While it may seem minor, a seamless guest experience is key to a successful event.

Since XR (Extended Reality) is one of our specialties, we proposed a smart venue navigation service.

Instead of just providing a static map, we designed a solution from the guest’s perspective, identifying key waypoints to guide attendees efficiently. To ensure practicality, we tested different navigation methods with Regent Taipei, fine-tuning elements such as entry sign placement and interactive 3D maps within digital invitations to make the experience as clear and intuitive as possible.

This even enables guests to navigate directly to their assigned table!

For large weddings and corporate banquets, this is a game-changer—event organizers no longer need large teams of staff to assist with seating. Instead, guests can use dynamic navigation to find their table effortlessly, making the event experience smoother and more professional.

Challenges We Faced During the Collaboration

Of course, along the way, we encountered several technical and practical challenges.

1️⃣ Converting Floor Plans into 3D – How to Make It Fast and Accurate?

Transforming 2D floor plans into interactive 3D simulations required balancing visual fidelity and system performance. If models were too detailed, loading times would be slow; but if oversimplified, the visual representation might not be useful.

To solve this, we worked with Regent Taipei’s team to determine which venue elements required high-detail rendering (e.g., tables, stages) and which could be optimized. This way, the 3D model remained realistic while running smoothly in real-time.

2️⃣ How to Dynamically Represent Venue Features in 3D?

Some venue elements, like projector screens or partition walls, are not fixed—they change depending on the event setup. So, how could we make these adjustable within the 3D simulation?

We developed a “Venue Layout Toggle” feature, allowing venue operators to instantly switch the status of different venue elements. This lets them adjust the layout with a single click, making it possible to show organizers real-time configuration changes, which speeds up decision-making.

3️⃣ How to Ensure Seamless Integration into Daily Hotel Operations?

A system is only useful if the people using it find it practical and easy to adopt.

During our discussions with Regent Taipei, we discovered that their staff preferred using tablets when communicating with event organizers. This was an opportunity to further enhance MiraVenue’s tablet interface to better suit their workflow.

To improve usability, we focused on:

• Optimized touch controls for smoother drag-and-drop interactions.
• Intuitive venue layout adjustments with real-time previews.
• Seamless cross-device compatibility, ensuring a consistent experience across tablets and computers.

These fine-tuned optimizations transformed MiraVenue from just a planning tool into an integral part of daily hotel operations.

The Outcome & What’s Next?

This collaboration successfully improved venue planning efficiency at Regent Taipei, making communication between venue operators and event organizers more seamless.

✅ Enhanced guest experience – Digital invitations now help attendees navigate the venue and find their seats more easily.

✅ More flexible venue management – 3D simulations and real-time layout switching allow venue operators to quickly respond to organizer requests and optimize space usage.

Most importantly, Regent Taipei successfully modernized its venue management approach, elevating the overall event planning experience.

So, what’s next?

This collaboration wasn’t just a one-time tech implementation—it’s the start of an ongoing long-term optimization process. Moving forward, we will continue working with Regent Taipei to explore even more advanced applications, such as:
